有限会社 八槻木工所（以下「当社」といいます）は、個人情報の重要性を認識し、個人情報の保護に関する法律その他の関係法令を遵守して、次のとおり個人情報を適正に取り扱います。

1.個人情報の定義

本方針において個人情報とは、当社が保有する、氏名、生年月日、電話番号、メールアドレスその他の特定の個人を識別できる情報をいい、お取引先のご担当者様に関する情報を含みます。

2.取得及び利用目的

当社は、次の目的に必要な範囲で、原則としてご本人の同意を得たうえで個人情報を取得し、その範囲内でのみ利用します。
1）お問い合わせ・ご相談への回答
2）お見積り、製作、納品など、ご依頼いただいた業務の遂行
3）お取引先・協力会社との連絡その他業務上必要な連絡
4）当社の商品・サービスのご案内
5）採用応募者の方への連絡及び選考

3.安全管理措置

当社は、個人情報の紛失、改ざん、漏えい及び不正アクセスを防止するため、次の措置を講じています。
1）基本方針の策定：本方針を定め、公表しています。
2）組織的な措置：個人情報を取り扱う担当者を限定しています。
3）人的な措置：取扱担当者に対し、個人情報の取扱いに関する教育を行っています。
4）技術的な措置：外部からの不正アクセスを防ぐ機器を設置し、全てのパソコンにウイルス対策ソフトを導入しています。
5）外的環境の把握：当社ウェブサイトのサーバーは日本国内にあります。お問い合わせのメールは、米国の事業者（Google）が提供する法人向けクラウドサービスで受信・保管しており、同国の個人情報保護制度を把握したうえで安全管理措置を講じています。なお、同サービスのデータを保管するサーバーの所在国は、サービスの仕様上特定できません（参考：同社が公表するデータセンターの所在地）。

4.第三者への提供

当社は、あらかじめご本人の同意を得ることなく、個人情報を第三者に提供しません。ただし、次の場合を除きます。
1）法令に基づく場合
2）人の生命、身体又は財産の保護のために必要がある場合であって、ご本人の同意を得ることが困難であるとき
3）国の機関若しくは地方公共団体又はその委託を受けた者が法令の定める事務を遂行することに対して協力する必要がある場合であって、ご本人の同意を得ることにより当該事務の遂行に支障を及ぼすおそれがあるとき

5.取扱いの委託

当社は、利用目的の達成に必要な範囲で、個人情報の取扱いを外部に委託することがあります。その場合は、信頼できる委託先を選定し、契約により個人情報の適正な管理を義務付けます。

6.開示等のご請求

ご本人から、当社が保有するご本人の個人情報について、利用目的の通知、開示（第三者提供記録の開示を含みます）、訂正・追加・削除、利用停止・消去又は第三者提供の停止（以下「開示等」といいます）のご請求があった場合は、ご本人であることを確認したうえで、遅滞なく対応します。
1）ご請求の方法：下記「お問い合わせ窓口」まで、電話又はお問い合わせフォームでご連絡ください。
2）ご本人の確認：運転免許証等の本人確認書類により確認します。
3）手数料：無料です。
4）回答の方法：書面、電子メールなど、ご本人が指定する方法で回答します。
次のいずれかに該当する場合は、全部又は一部を開示しないことがあります。その場合は、その旨と理由をお知らせします。
1）ご本人又は第三者の生命、身体、財産その他の権利利益を害するおそれがある場合
2）当社の業務の適正な実施に著しい支障を及ぼすおそれがある場合
3）他の法令に違反することとなる場合

7.訂正・追加・削除

当社は、個人情報を正確かつ最新の内容に保つよう努めます。ご本人から訂正・追加・削除のご請求があった場合は、速やかに調査し、内容が事実でないときは、訂正・追加・削除を行います。

8.利用停止・消去・第三者提供の停止

ご本人から、利用停止・消去又は第三者提供の停止のご請求があった場合は、速やかに対応します。

9.本方針の見直し

当社は、本方針を適宜見直し、改定します。改定した場合は、速やかに公表します。

10.苦情・ご相談

当社は、個人情報の取扱いに関する苦情・ご相談に、迅速かつ的確に対応します。下記「お問い合わせ窓口」までご連絡ください。

11.お問い合わせ情報の保管期間

お問い合わせにより取得した個人情報は、年1回の見直しにより、最後のご連絡から3年を経過したものを削除します。ご依頼につながった場合は、業務上の記録として、法令で定める期間保管します。

12.外部サービスの利用

英語でのお問い合わせに対応するため、機械翻訳ツール等の外部サービスを利用することがあります。その際は、翻訳に必要な内容のみを入力し、氏名・連絡先は入力しないよう努めます。

YATSUKI WOODWORKS Co., Ltd. (有限会社八槻木工所; “we”, “us”) recognises the importance of personal information. We comply with the Act on the Protection of Personal Information of Japan and other applicable laws, and handle personal information appropriately as set out below.

1. Definition of personal information

In this policy, personal information means information we hold that can identify a specific individual, such as a name, date of birth, telephone number or email address. This includes information about contact persons at our business partners.

2. Collection and purposes of use

We collect personal information, in principle with your consent, only to the extent necessary for the following purposes, and use it only within that scope:
(1) responding to enquiries and consultations
(2) carrying out work you have requested, such as quotations, production and delivery
(3) communicating with business partners and cooperating companies, and other necessary business communications
(4) providing information about our products and services
(5) contacting job applicants and carrying out our selection process

3. Security measures

To prevent loss, alteration and leakage of, and unauthorised access to, personal information, we take the following measures:
(1) Basic policy: we have established and published this policy.
(2) Organisational measures: only designated staff may handle personal information.
(3) Personnel measures: we train these staff in the handling of personal information.
(4) Technical measures: we have installed equipment that protects against unauthorised external access, and anti-virus software on all our computers.
(5) Understanding the external environment: our website server is located in Japan. We receive and store enquiry emails using a business cloud service provided by a company based in the United States (Google), and take security measures with an understanding of the personal information protection system in the United States. Due to the nature of the service, we cannot identify the country where the servers storing this data are located (for reference, see the data centre locations published by the provider).

4. Provision to third parties

We do not provide personal information to third parties without your prior consent, except:
(1) where based on laws and regulations
(2) where necessary to protect a person’s life, body or property, and it is difficult to obtain your consent
(3) where necessary to cooperate with a national or local government body, or a party entrusted by one, in performing duties prescribed by law, and obtaining your consent is likely to interfere with those duties

5. Entrusting the handling of personal information

We may entrust the handling of personal information to external parties to the extent necessary to achieve the purposes of use. In such cases, we select trusted contractors and require them by contract to manage personal information appropriately.

6. Requests for disclosure and other actions

If you request us, regarding personal information we hold about you, to notify you of the purpose of use, disclose it (including records of its provision to third parties), correct, add to or delete it, stop using or erase it, or stop providing it to third parties (“disclosure and other actions”), we will respond without delay after verifying your identity.
(1) How to request: contact us by telephone or through our enquiry form (see “Contact” below).
(2) Identity verification: by an identity document such as a passport or driving licence.
(3) Fees: free of charge.
(4) Method of response: in writing, by email or by another method you specify.
We may decline to disclose all or part of the information in the following cases, and will inform you of this and the reason:
(1) where disclosure is likely to harm the life, body, property or other rights or interests of you or a third party
(2) where disclosure is likely to seriously interfere with the proper conduct of our business
(3) where disclosure would violate other laws or regulations

7. Correction, addition and deletion

We strive to keep personal information accurate and up to date. If you request correction, addition or deletion, we will investigate promptly and, where the information is found to be inaccurate, correct, add to or delete it.

8. Suspension of use, erasure and suspension of provision to third parties

If you request that we stop using or erase your personal information, or stop providing it to third parties, we will respond promptly.

9. Review of this policy

We review and revise this policy as appropriate and will publish any revisions promptly.

10. Complaints and enquiries

We respond promptly and appropriately to complaints and enquiries about our handling of personal information. Please contact us using the details under “Contact” below.

11. Retention of enquiry information

We review personal information received through enquiries once a year and delete records where three years have passed since our last contact. Where an enquiry leads to a project, the related information is kept as part of our business records for the period required by law.

12. Use of external services

To respond to enquiries in English, we may use external services such as machine translation tools. When doing so, we enter only the content needed for translation and take care not to enter names or contact details.
